Terms of Service
Last updated: October 2026
These Terms of Service ("Terms") govern your use of Ziptaa's AI receptionist platform, including calls and text messages sent by an AI receptionist on behalf of a business that uses Ziptaa ("Service"). By using the Service — including by speaking with a Ziptaa-powered AI receptionist or receiving a text message from one — you agree to these Terms.
1. Description of Service
Ziptaa provides small businesses with an AI receptionist that answers incoming phone calls, books and manages appointments, and sends related text message confirmations and updates. Ziptaa acts on behalf of the business you are contacting; the business remains responsible for the services it provides to you.
2. SMS Terms & Conditions
By booking an appointment through a Ziptaa-powered AI receptionist and verbally agreeing to receive a text confirmation, you consent to receive SMS text messages related to your appointment, including booking confirmations, reminders, and updates if your appointment is rescheduled or cancelled.
Message frequency varies based on your appointment activity. Message and data rates may apply. You may opt out at any time by replying STOP to any message. Reply HELP for help. Carriers are not liable for delayed or undelivered messages.
3. AI Receptionist Disclosure
Calls answered by Ziptaa are handled by an artificial intelligence assistant, not a person. The assistant can sound natural, but it can make mistakes, mishear a request or misunderstand it, and it works only from the information the business has given it. It is not meant for emergencies. If you have an emergency, call 911. Calls may be recorded and transcribed, as described in our Privacy Policy. The business chooses how the assistant greets callers and is responsible for giving any notice about recording or AI that the law requires where it operates.
4. Acceptable Use
You agree to give accurate information, including a valid phone number for appointment-related communications. You may not use the Service:
- to break the law;
- to harass, threaten or deceive anyone;
- to send marketing or bulk messages, or to message anyone who has not agreed to receive texts;
- to pretend to be another person or business;
- to collect payment card numbers or government ID numbers by phone;
- to attack, interfere with or reverse engineer the Service, or to get around its limits; or
- to resell it without our written permission.
We may suspend access to stop misuse.
5. For Business Account Holders
If you are a business using the Ziptaa dashboard, you are additionally responsible for:
- The accuracy of your business hours, services, prices, policies and knowledge base content
- How you configure your AI receptionist, including its greeting, and reviewing how it handles your calls
- The messages sent to your customers on your behalf, and getting any consent they require under applicable law, including laws on text messages and call recording
- Setting up and turning off call forwarding with your own phone carrier
- Keeping your account credentials secure, and the people you allow into your account
- Having the right to connect the Google account and calendar you link to Ziptaa
6. Subscription, Billing, Trial and Automatic Renewal
Ziptaa is sold as a monthly subscription. Plans, prices and the monthly limits on call minutes and text messages are shown on our pricing page and at checkout. A 7-day free trial is available once per business. A payment card is required to start it, usage during the trial is limited, and unless you cancel before it ends, your subscription becomes a paid plan. A business that returns after cancelling starts paying immediately, with no new trial. Your subscription renews automatically each month, and your card is charged each period until you cancel. You may change plans at any time, and the price difference for the current period is charged or credited to your card. If you reach a plan's limit, your AI receptionist may stop answering calls until you upgrade or the limit resets at renewal. We may change prices with advance notice, and a change applies from your next renewal. If a payment fails, we may retry it, and if it stays unpaid we may suspend the Service and cancel the subscription. Payments are processed by Stripe. Fees are not refundable except where the law requires it or where we choose to refund after you contact support@ziptaa.com.
7. Cancellation and Account Termination
You can cancel at any time from the Billing page, through the Stripe customer portal. A cancellation takes effect at the end of the billing period you have paid for, and the Service continues until then. We do not give partial refunds for unused time. When your plan ends, your AI receptionist stops answering calls, and your Ziptaa phone number is released and cannot be recovered. If you forward your business line to your Ziptaa number, turn forwarding off before the plan ends, or your callers will reach a disconnected line. You can resume a scheduled cancellation from the Billing page before the end date. If you subscribe again later, you will be given a new phone number. If you delete your account, your subscription is cancelled immediately and your number is released. We may suspend or end your account if you break these Terms, use the Service unlawfully or do not pay. What happens to your information afterwards is described in our Privacy Policy.
8. Intellectual Property
Ziptaa owns the platform, software, design, name and logo. You keep ownership of the content you give us, such as your business information and knowledge base, and you give us a limited licence to host, process and display it only to provide and support the Service. You may use the call summaries, transcripts and appointment records produced for your business in your own work. You may not copy, sell or build a competing product from the Service. If you send us feedback, we may use it without owing you anything.
9. Connected Services: Google Calendar
If you connect Google Calendar, you authorize Ziptaa to access your Google account as described in our Privacy Policy, and only to provide the features of the Service. You can disconnect at any time from the dashboard or at https://myaccount.google.com/permissions. Ziptaa's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. Google is a separate service with its own terms.
10. Disclaimers
The Service is provided "as is." Ziptaa's AI receptionist is designed to assist with appointment booking and general inquiries, but Ziptaa does not guarantee uninterrupted availability of calls, text messages, or the underlying voice, calendar, or messaging services it relies on.
11. Limitation of Liability
To the fullest extent permitted by law, Ziptaa is not liable for indirect, incidental, or consequential damages arising from your use of the Service, including missed or delayed calls or text messages.
12. Governing Law and Disputes
These Terms are governed by the laws of the State of Ohio, without regard to its conflict-of-law rules. Before bringing a claim, you agree to contact support@ziptaa.com and try to resolve it informally for 30 days. A dispute that is not resolved will be brought in the state or federal courts located in Ohio, and both sides agree to that venue.
13. Privacy
Our Privacy Policy at https://www.ziptaa.com/privacy explains how we collect, use and protect information, and forms part of these Terms.
14. Changes to These Terms
We may update these Terms from time to time. Continued use of the Service after changes are posted constitutes acceptance of the updated Terms.
